Job Description:
We are seeking a poised, professional, and highly organized Receptionist to serve as the face of our organization. In this role, you are more than a gatekeeper; you are a Client Experience Associate responsible for setting the tone of every interaction, whether in person, over the phone, or via email.
You will manage the front-of-house operations with precision—balancing a busy switchboard, managing executive calendars, and ensuring the office remains a welcoming environment for visitors. Requirements:
1. Front-Office Excellence & Hospitality
First Impression Management: Welcome and attend to all visitors with a polite, professional, and warm demeanor, ensuring they are directed to the appropriate department.
Environmental Standards: Maintain the reception area to ensure it remains pristine, organized, and reflective of our brand's professional standards.
Visitor Triage: Effectively screen and direct phone calls and inquiries to minimize disruptions to internal teams while ensuring callers receive the help they need.
2. Communication & Logistics Coordination
Inquiry Governance: Handle incoming emails, messages, and general inquiries with speed and professional clarity.
Mail & Correspondence: Receive, sort, and distribute incoming mail and packages, ensuring time-sensitive documents reach the right hands immediately.
Calendar Stewardship: Schedule appointments and manage shared meeting room calendars to prevent scheduling conflicts and ensure smooth operational flow.
3. Administrative Support
Clerical Mastery: Provide essential administrative support, including document preparation and basic data entry using Microsoft Office Suite.
Multitasking Agility: Handle multiple front-desk tasks simultaneously—such as attending to a visitor while managing a ringing phone—without compromising service quality.
Qualifications and Skills:
Professional Profile
Experience: Proven experience as a Receptionist or Front Desk Officer is a significant advantage.
Technical Skills: Proficiency in Microsoft Word and Excel for basic reporting and correspondence.
Soft Skills: Excellent interpersonal skills and the ability to maintain a calm, professional temperament under pressure.
