Job Description:

We are seeking a poised and professional Receptionist & Front Office Coordinator to serve as the vital first point of contact for our organization. In this role, you are our Corporate Ambassador, responsible for creating a seamless and welcoming experience for every guest, partner, and employee who enters our doors.

Beyond greeting visitors, you will function as an operational hub—managing a high-volume switchboard, coordinating executive travel, and ensuring the front office runs with clockwork efficiency. If you are a proactive multitasker with a "service-first" mindset and a sharp eye for administrative detail, we invite you to anchor our front-of-house operations.

Requirements:

1. Guest Experience & Access Control

  • First Impression Management: Greet and welcome guests immediately upon arrival, ensuring they are directed to the appropriate office or personnel with professional warmth.

  • Security Stewardship: Maintain office safety by strictly following access procedures, monitoring the visitor logbook, and issuing security badges.

  • Information Hub: Provide accurate, high-quality information to inquiries made in-person, over the phone, or via email.

2. Operational & Logistical Support

  • Communication Management: Answer, screen, and forward incoming calls while managing the distribution of daily mail and sensitive deliveries.

  • Travel & Resource Coordination: Arrange complex travel and accommodation schedules, prepare payment vouchers, and update team meeting calendars.

  • Procurement & Inventory: Monitor and order front-office supplies, ensuring all necessary stationery and marketing materials (brochures, forms) are always in stock.

3. Administrative & Financial Maintenance

  • Expense Tracking: Maintain precise, updated records of office expenses and costs to support the finance department.

  • Clerical Mastery: Perform essential support duties including filing, transcribing, photocopying, and managing document flow.

  • Facility Aesthetics: Ensure the reception area is consistently presentable, tidy, and reflective of our brand’s professional standards.

Qualifications and Skills:

Professional Profile

  • Education: High School Degree (additional certification in Office Management is a significant plus).

  • Experience: At least 1 year of proven work experience as a Receptionist, Front Office Representative, or in a similar hospitality-driven role.

  • Technical Skills: Proficiency in Microsoft Office Suite and hands-on experience with standard office equipment (printers, scanners, VOIP systems).
