Job Description:
Own daily guide scheduling and real time coordination during live operations, ensuring every tour is properly staffed, on time, and set up to deliver an excellent guest experience.
What You Will Do
Scheduling and Real Time Coordination
- Build, publish, and maintain accurate daily and weekly schedules for guides across multiple North American cities
- Coordinate real time adjustments during live operations, including coverage gaps, delays, and last minute changes
- Act as the central coordination point during your shift, keeping schedules aligned with operational reality
Workforce Planning and Coverage
- Manage shift changes, swaps, and availability updates efficiently and fairly
- Ensure optimal staffing coverage based on forecasted demand and live conditions
- Communicate clearly with guides regarding assignments, changes, and expectations
Operational Monitoring and Visibility
- Track guide check ins, punctuality, and attendance in real time
- Maintain up to date schedules and assignments using dashboards, spreadsheets, and scheduling tools
- Escalate operational risks, coverage issues, or performance concerns to the Operations Manager
Team Support and Continuous Improvement
- Serve as the first point of contact for guides during your shift, offering calm, clear, and empathetic support
- Support onboarding and training of new team members as needed
- Contribute to process improvements, documentation, and SOP updates over time
Requirements:
- Experience in scheduling, dispatch, operations coordination, or customer support roles
- Strong organisational skills with the ability to prioritise under pressure
- Comfort working with spreadsheets such as Google Sheets or Excel and scheduling tools
- Excellent written and verbal communication skills with a professional and empathetic approach
- Availability to work shifts, including evenings and weekends.
Qualifications and Skills:
- Experience supporting remote or frontline teams
- Familiarity with tools such as Slack, Discord, Rippling, or workforce management platforms
- Interest in travel, tourism, or guest experience operations
Salary
