Job Description:
We are seeking a meticulous and high-integrity Assistant Secretary (Exams & Records) to serve as the backbone of our academic administration. In this role, you will be the primary guardian of student achievements, responsible for the lifecycle of academic data—from the first enrollment record to the final graduation transcript.
This position is designed for a professional who understands that a single data entry error can impact a student’s career. You will balance the technical demands of result processing with the logistical coordination required to execute seamless internal and external examinations. Requirements:
1. Academic Records & Data Governance
Lifecycle Management: Maintain, update, and secure students’ personal files and academic history, ensuring every credit and grade is accurately captured.
Transcript Administration: Prepare and manage the issuance of official results and transcripts, adhering to strict verification protocols.
Archival Security: Implement systematic filing, storage, and retrieval processes that ensure records are both protected from unauthorized access and easily accessible to authorized personnel.
2. Examination Coordination & Logistics
Timetable Architecture: Collaborate with academic departments to compile conflict-free examination timetables and attendance registers.
Exam Integrity: Assist in the physical and digital coordination of internal and external examinations, ensuring all result sheets and scripts are handled with total security.
Processing & Reporting: Support the compilation of broadsheets, carry-over lists, and comprehensive academic reports for the College Board.
3. Confidentiality & Inter-Departmental Liaison
Integrity Standards: Uphold the absolute confidentiality of examination data, serving as a trusted point of contact for sensitive academic information.
Departmental Synergy: Act as the primary liaison between the Registry and academic departments to resolve discrepancies in results or student records.
Policy Compliance: Ensure all records management activities align with College policies and external regulatory requirements.
Qualifications and Skills:
Professional Profile
Education: Minimum of OND, HND, or B.Sc. in Secretarial Studies, Business Administration, Records Management, or a related field.
Experience: Proven experience in examinations and records management. Experience in a Nursing or Health-related academic institution is a significant advantage.
Technical IQ: High proficiency in Microsoft Office (particularly Excel for result processing) and familiarity with basic digital Records Management Systems (RMS).
Core Competencies
Accuracy: A high level of numerical and clerical accuracy with strong attention to detail.
Discretion: Demonstrated ability to handle confidential information with a high degree of professional ethics.
Organization: Strong organizational skills to manage large volumes of physical and digital data under tight deadlines.
