Job Description:
We are seeking a methodical and professional Unit Secretary to join our medical team. This role is the administrative backbone of our healthcare unit, ensuring that clinicians can focus on patient care while the operational and documentation workflows run seamlessly. You will be responsible for the accurate management of patient data, appointment coordination, and the procurement of essential supplies.
The ideal candidate is an organized communicator who understands the sensitivity of medical records and possesses the technical literacy required to navigate modern healthcare software.
Requirements:
Patient Coordination & Scheduling
Appointment Management: Coordinate and schedule patient appointments and follow-up examinations as directed by the medical team.
Flow Optimization: Assist in managing the daily flow of the unit to ensure timely transitions between consultations and exams.
Records Management & Documentation
Data Integrity: Maintain and update patient information within our electronic medical records (EMR) system with high accuracy.
Archiving: File physical and digital paperwork, ensuring that all records are organized and immediately accessible for medical professionals.
Confidentiality: Administer patient records in strict accordance with privacy laws and internal data protection policies.
Administrative Support & Procurement
Supply Chain: Monitor inventory levels for both office and medical supplies, placing orders as needed to ensure zero operational downtime.
Inquiry Handling: Act as a professional point of contact for patient inquiries and inter-departmental communications.
Qualifications and Skills:
Education: High School Diploma or equivalent is preferred.
Experience: * Proven work experience as a Unit Secretary, Medical Receptionist, or in a similar administrative role within a healthcare setting.
Technical Skills:
Medical Literacy: Solid knowledge of basic medical terminology.
Software Proficiency: Hands-on experience with medical software and electronic health records (EHR).
Digital Literacy: Excellent computer literacy skills, including proficiency in the Microsoft Office Suite.
Core Competencies:
Organization: Exceptional ability to file paperwork and manage complex schedules.
Communication: Strong interpersonal skills for interacting with both patients and medical staff.
