Job Description:
We are seeking a highly organized and efficient Secretary to manage the administrative operations of our office. The ideal candidate will serve as the central point for documentation, correspondence, and scheduling, ensuring a professional and streamlined environment. You will be responsible for maintaining precise records and facilitating clear communication between departments and external stakeholders.
This role requires a candidate who is not only technically proficient in office software but also possesses the organizational discipline to manage competing priorities with accuracy.
Requirements:
Administrative Operations
Correspondence Management: Draft, format, and manage official letters, memos, and emails with high linguistic accuracy.
Scheduling: Coordinate and manage executive calendars, meeting rooms, and appointment schedules to prevent conflicts.
Record Keeping: Establish and maintain an efficient physical and digital filing system for easy retrieval of office records and confidential documents.
Technical Tasks & Reporting
Document Processing: Utilize Microsoft Word, Excel, and PowerPoint to create professional reports, spreadsheets, and presentations.
Typing & Transcription: Handle fast-paced typing tasks and prepare minutes of meetings and summary reports for management.
Office Maintenance: Monitor office supplies and ensure administrative support is provided for daily operations.
Communication & Liaison
Front-line Support: Act as the first point of contact for visitors and telephone inquiries, representing the company with professionalism.
Interdepartmental Coordination: Facilitate the smooth flow of information across different teams and units.
Qualifications and Skills:
Education & Academic Background
Qualification: OND, HND, or Bachelor’s Degree in any related field (Secretarial Studies, Business Administration, or Mass Communication preferred).
Experience & Seniority
Track Record: Minimum of five (5) years of experience as a Secretary or Administrative Officer.
Technical Competencies
Software Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint).
Office Skills: Excellent typing speed and accuracy, coupled with strong reporting skills.
Organizational Mastery: Proven ability to manage office records and complex schedules efficiently.
