Job Description:

We are seeking a proactive, highly organized, and discreet Personal Assistant. In this role, you are more than an administrative support; you are a strategic gatekeeper and the operational engine behind the CCXO’s office.

You will act as the primary point of contact for the Executive, managing complex logistics, cross-examining high-level documents for policy compliance, and ensuring the CCXO remains focused on the mission of delivering world-class customer experience. This role requires a professional who can handle sensitive data with absolute confidentiality and execute administrative tasks with "zero-error" precision.

Requirements:

1. Executive Gatekeeping & Liaison

  • Primary Interface: Serve as the point of entry for all communications (confidential mail, high-level calls, and digital correspondence) to the Executive's office.

  • Sensitive Matter Management: Handle peculiar issues and highly confidential departmental information with the utmost discretion and professional maturity.

  • Stakeholder Coordination: Liaise between the CCXO and internal/external stakeholders, ensuring all inquiries are addressed or routed appropriately.

2. Logistics & Calendar Governance

  • Strategic Scheduling: Manage the CCXO’s calendar and travel arrangements. You are expected to proactively negotiate scheduling conflicts and determine feasible alternatives to maximize the Executive's time.

  • Filing & Documentation: Develop and maintain a "gold-standard" filing system (both electronic and physical) to ensure documents are retrievable within seconds.

  • Conflict Resolution: Anticipate potential logistical bottlenecks in travel and meetings, resolving them before they impact the Executive’s schedule.

3. Technical Admin & Quality Control

  • Compliance Oversight: Cross-examine all documents intended for the CCXO’s review to ensure they meet MTNN’s rigorous quality standards and internal policy compliance.

  • Data Synthesis: Collate monthly activity reports from across the Customer Relations and Experience units, synthesizing them for executive review.

  • Presentation Excellence: Perform high-level quality control on presentations and spreadsheets, ensuring perfect formatting, data integrity, and error-free output.

Qualifications and Skills:

Professional Profile

  • Education: First Degree in any related discipline. Must be fluent in English.

  • Experience: 1 – 3 years of experience in a specialized administrative or secretarial role.

  • Environment: Proven experience working within a medium to large-scale organization (telecoms or corporate services experience is an advantage).

  • Technical Proficiency: Advanced skills in Microsoft Office (Word, Excel, PowerPoint) and digital filing systems.
