Job Description:
We are seeking a highly professional and discreet Confidential Secretary to provide high-level administrative support. In this role, you will serve as a trusted gatekeeper for sensitive information and a central hub for executive communications. You will be responsible for ensuring that office operations run seamlessly while maintaining the absolute highest standards of integrity and confidentiality.
The ideal candidate is a meticulous organizer who can manage complex documentation and coordinate executive schedules with poise and professionalism.
Requirements:
Executive & Administrative Support
Communication Management: Coordinate internal and external communications, including handling correspondence, emails, and phone inquiries.
Documentation: Prepare, draft, and format high-level reports, memos, and minutes of meetings with high accuracy.
Schedule Coordination: Facilitate the scheduling of executive appointments, maintain calendars, and ensure all logistical arrangements for meetings are finalized.
Information Management & Confidentiality
Data Protection: Manage and safeguard sensitive information, ensuring that strictly confidential matters are handled with the necessary discretion.
Record Keeping: Maintain a structured and secure filing system (both physical and electronic) for sensitive organizational documents.
Integrity: Serve as a reliable point of contact for matters requiring high-level trust and ethical conduct.
Office Operations
Workflow Support: Support day-to-day office operations to ensure efficiency and professional service delivery.
Document Control: Track and monitor the movement of sensitive files and ensure they are returned to secure custody.
Qualifications and Skills:
Education & Experience
Qualification: OND, HND, or Bachelor’s Degree in Secretarial Studies, Business Administration, or a relevant discipline.
Experience: 2–5 years of proven experience in a similar role (e.g., Personal Assistant, Executive Assistant, or Confidential Secretary).
Technical & Professional Skills
Digital Literacy: High proficiency in Microsoft Office tools (Word, Excel, PowerPoint) for professional document preparation and reporting.
Organization: Exceptional organizational skills with the ability to manage multiple priorities under pressure.
Communication: Strong verbal and written communication skills with a refined professional tone.
