Job Description:
We are seeking a meticulous, organized, and proactive Asset and Inventory Officer to ensure the integrity, security, and optimal utilization of our organization's assets and stock. You will be the central point of contact for tracking everything from high-value equipment to essential office supplies.
In this role, you will be responsible for maintaining precise records, enforcing internal controls, and optimizing our storage and asset lifecycle processes. Requirements:
Asset Management
Lifecycle Oversight: Maintain the fixed asset register, capturing all details including acquisition date, cost, location, and depreciation.
Tagging & Tracking: Proactively tag, label, and track all company assets (IT equipment, furniture, machinery).
Process Coordination: Manage the end-to-end process of asset issuance, transfer, and retrieval, ensuring every movement is documented.
Verification: Conduct periodic physical verification of assets and reconcile findings with existing records.
Inventory & Warehouse Management
Organization: Map storage facilities and maintain up-to-date stock records (bin cards, stock cards, and spreadsheets).
Stock Control: Establish reorder levels to maintain appropriate stock of frequently used supplies, preventing both stock-outs and overstocking.
Maintenance: Ensure warehouses remain clean, organized, and compliant with safety standards.
Reporting: Prepare and submit weekly, monthly, and quarterly stock reports; perform routine and spot counts to reconcile variances.
Compliance & Reporting
Policy Enforcement: Enforce asset and inventory management policies, ensuring all movements are properly authorized.
Audit Support: Act as the key point of contact for internal and external audits by providing required documentation and explanations.
Management Reporting: Provide data-driven reports to support budgeting, forecasting, and financial decision-making.
Stakeholder Coordination
Administrative Support: Liaise closely with HR and Finance teams to support onboarding/exit processes (asset assignment and recovery) and general administrative functions.
Qualifications and Skills:
Education: Bachelor’s Degree in Business Administration, Logistics, Supply Chain Management, or a related field.
Experience: Minimum of 4 years of relevant experience in asset management, warehouse operations, and/or administrative inventory roles.
Technical Proficiency:
High proficiency in Microsoft Excel.
Familiarity with inventory management systems, ERP tools, or fixed asset registers.
Basic knowledge of accounting principles and internal control frameworks.
