Job Description:
We are seeking a highly organized and proactive Administrative Officer to anchor our daily office operations. In this role, you will be the backbone of our administrative ecosystem, ensuring that workflows remain seamless and internal teams are fully supported. Given our focus on healthcare operations, the ideal candidate must balance high-level coordination with a strict commitment to confidentiality and service excellence. You will be responsible for everything from documentation and meeting coordination to procurement support and stakeholder liaison.
Requirements:
Office Operations: Oversee day-to-day administrative activities to maintain an efficient and professional work environment.
Record Management: Systematically maintain both physical and electronic records, files, and documentation to ensure easy retrieval and audit readiness.
Communication: Act as a professional point of contact for correspondence, phone calls, and general inquiries from patients, partners, and staff.
Coordination: Manage complex schedules, coordinate departmental meetings, and oversee appointment calendars for senior leadership.
Logistics & Procurement: Support inventory tracking, monitor office supplies, and assist in the procurement process to prevent operational bottlenecks.
Data & Reporting: Assist in accurate data entry and the preparation of operational reports for management review.
Stakeholder Liaison: Work closely with internal teams and external stakeholders to facilitate smooth daily operations and service delivery.
Policy Compliance: Ensure all administrative actions align with organizational policies and standard operating procedures.
Qualifications and Skills:
Operational Efficiency: Measured by the smoothness of daily office workflows and minimal downtime.
Data Integrity: Accuracy and timeliness of documentation, record-keeping, and reporting.
Service Responsiveness: Speed and professionalism in addressing internal and external requests.
