Job Description:
We are seeking a highly organized and proactive Administrative Assistant to anchor our office operations in Lagos. In the precision-driven aviation services industry, success is defined by "Workflow Continuity", the ability to manage complex schedules, coordinate multi-departmental tasks, and maintain impeccable records without friction. This role is designed for an "Office Orchestrator" with 1–2 years of experience who can blend "Meticulous Document Control" with the "Professional Diplomacy" required to interface with staff, managers, and high-value aviation stakeholders.
Your mission is to ensure "Zero-Latency Office Operations and Seamless Staff Support." You will be the central nervous system of the facility: responsible for calendar governance, travel logistics, and the integrity of our filing systems. If you possess "Organizational Grit," proficiency in Microsoft Office Suite, and a commitment to professional discretion, we want you to drive our administrative excellence.
Requirements:
1. Calendar Governance & Communication Advocacy
Executive Coordination: Manage complex calendars, booking appointments and coordinating high-stakes meetings for staff and senior management.
Information Gatekeeping: Handle all incoming communications, including phone calls, emails, and visitor greetings, ensuring inquiries are directed with speed and professionalism.
Document Architecture: Prepare and distribute professional correspondence, memos, and reports, ensuring all outgoing materials reflect the company’s brand standards.
2. Logistics & Resource Stewardship
Travel Orchestration: Coordinate end-to-end travel arrangements and accommodations for employees, ensuring logistics align with aviation project timelines.
Supply Chain Management: Monitor and order office supplies, manage inventory levels, and ensure all office equipment is maintained and operational.
Event Synergy: Assist in organizing company events, internal meetings, and workshops to foster a collaborative work culture.
3. Departmental Support & Data Integrity
Cross-Functional Assistance: Provide general support to HR, Accounting, and Project teams, assisting with data entry and specialized administrative tasks as assigned.
Record Governance: Maintain highly organized physical and electronic filing systems, ensuring all aviation service records are easily retrievable and secure.
Confidentiality Management: Exercise a high level of discretion and a professional demeanor when handling sensitive personnel or financial information.
Qualifications and Skills:
Professional Profile
Education: Minimum of a High School Diploma or equivalent (A Diploma in Business Administration or Office Management is a significant advantage).
Experience: 1–2 years in a dedicated administrative or office support role.
Technical Mastery: High proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the operation of general office infrastructure.
