Job Description:

We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to join our team in Lagos on a full-time basis. In this role, you will be the backbone of our daily office operations, ensuring that communication flows smoothly, schedules are meticulously managed, and administrative workflows run like clockwork. We are looking for a master multi-tasker who can seamlessly transition from taking detailed meeting minutes and handling travel logistics to managing vendor relationships and tracking expenses. Requirements:

  • Communication & Correspondence: Answer and direct incoming phone calls; draft, review, and distribute professional emails, memos, letters, forms, and corporate correspondence.

  • Schedule & Meeting Management: Organize and schedule executive appointments, coordinate meetings, and capture detailed, actionable minutes.

  • Office Operations & Procurement: Maintain and update office policies and procedures. Monitor inventory, order office supplies, and proactively research new vendor deals to optimize administrative costs.

  • Filing & Data Infrastructure: Develop, optimize, and maintain an organized physical and digital filing system. Keep corporate contact lists secure and up to date.

  • Financial & Travel Logistics: Coordinate and book travel arrangements. Prepare, submit, and reconcile monthly expense reports with accuracy.

  • Stakeholder & Visitor Support: Act as a primary point of contact for internal and external clients. Greet and provide general, high-quality support to office visitors.

  • Cross-Functional Collaboration: Liaise directly with executive and senior administrative assistants to seamlessly handle requests and queries from senior managers.

Qualifications and Skills:

  • Education: High School Degree required; an additional qualification as an Administrative Assistant, Executive Secretary, or a related diploma will be an added advantage.

  • Experience: Proven, successful experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.

  • Technical Proficiency:

    • Strong working knowledge of office management systems, procedures, and standard equipment (printers, scanners, etc.).

    • High proficiency in Microsoft Office Suite, with an advanced focus on MS Excel and MS PowerPoint.
