Job Description:
We are seeking a detail-oriented and proactive Procurement Assistant to join our supply chain team. In this role, you will be the engine room of our purchasing operations, ensuring that the goods and services we need are sourced efficiently, delivered on time, and documented with absolute accuracy.
This is a critical support role where your ability to manage vendor relationships and navigate complex logistics directly impacts our operational success. If you are a disciplined professional with strong numerical skills and a "follow-through" mindset, we want you to help us maintain a seamless supply chain.
Requirements:
1. Supplier Liaison & Sourcing
Vendor Coordination: Act as the primary point of contact for suppliers, requesting quotes, clarifying specifications, and negotiating delivery timelines.
Market Research: Assist in identifying new reliable suppliers and conducting price comparisons to ensure the organization receives the best value for money.
2. Order Management & Logistics
Purchase Order (PO) Execution: Prepare and process accurate purchase orders in alignment with company policies and budget constraints.
Delivery Tracking: Rigorously monitor the status of open orders, troubleshooting delays, and ensuring that all deliveries meet quality and quantity standards upon arrival.
Documentation: Ensure all Goods Received Notes (GRN) are matched with POs and invoices for seamless financial reconciliation.
3. Data Management & Reporting
Excel-Driven Analytics: Utilize Microsoft Excel to maintain up-to-date databases of price lists, vendor performance metrics, and inventory levels.
Record Keeping: Maintain a systematic filing system for all procurement documents to ensure easy traceability and audit readiness.
Qualifications and Skills:
Professional Profile
Education: Minimum of an OND/HND or BSc in Purchasing and Supply, Business Administration, Economics, or a related field.
Experience: Prior experience in a procurement, store-keeping, or logistics role is an advantage.
Technical Mastery: Advanced knowledge of Microsoft Excel is mandatory. You must be comfortable with data entry, basic formulas, and organized spreadsheet management.
Core Competencies
Numerical Accuracy: High attention to detail when dealing with quantities, prices, and technical specifications.
Communication Skills: Ability to negotiate firmly yet professionally with external suppliers.
Organizational Grit: Ability to multitask and manage various orders simultaneously in a fast-paced environment.
