Job Description:
We are seeking a highly organized and proactive Executive Assistant to act as a strategic operational partner. This role goes beyond traditional calendar management; it is designed for a detail-oriented professional who can support the full lifecycle of business growth—from industry research and project tracking to the drafting of high-stakes proposals for client funding. The ideal candidate is a proficient communicator and a diligent multitasker who thrives in a fast-paced environment and takes pride in ensuring the executive office runs with absolute precision and efficiency.
Requirements:
1. Documentation, Reports & Proposals
Strategic Drafting: Assist in the preparation, editing, and drafting of high-quality reports, presentations, and executive correspondence.
Proposal Support: Contribute significantly to proposal writing for client projects seeking funding, ensuring all technical and financial narratives are clear and compelling.
Quality Assurance: Meticulously proofread all outward-facing documents for grammar, formatting, and accuracy to ensure they meet the highest professional standards.
2. Strategic Research & Business Development
Market Intelligence: Conduct deep-dive research on industry trends and competitive landscapes to provide summarized findings that support strategic decision-making.
Growth Support: Assist with business development efforts, including lead generation, targeted client outreach, and rigorous follow-up.
Database Management: Manage data entry and maintain internal CRM systems, ensuring data integrity for lead tracking and reporting.
3. Operational & Project Coordination
Project Tracking: Actively track the progress of ongoing projects, maintaining organized documentation including timelines, deliverables, and meeting notes.
Calendar Orchestration: Manage complex executive calendars, coordinating with internal and external stakeholders to ensure seamless scheduling and optimal time management.
Action Tracking: Ensure all project deadlines are met by proactively following up on action items and deliverables.
Qualifications and Skills:
Education & Experience
Academic Background: Associate’s or Bachelor’s Degree in Business Administration, Communications, or a related field.
Proven Tenure: 4+ years of experience in an executive support or senior administrative role.
Technical Proficiency: Expert knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with digital project management tools.

Communication Mastery: Superior written and verbal communication skills with a flair for drafting professional reports and proposals.
Analytical Mindset: Proven ability to conduct research, analyze information, and synthesize data into actionable summaries.
