Job Description:
We are seeking a technically grounded Workshop Administrator to lead the service initiation and customer interface for our heavy-duty workshop in Aba. In the truck and trailer industry, the administrator is the "Operational Bridge", the person who translates a driver’s mechanical complaints into a structured technical workflow. This role is designed for a "Service Architect", someone with an HND in Mechanical Engineering and 3–5 years of experience who can accurately estimate repair costs while maintaining high-level customer rapport.
Your mission is to ensure that every vehicle entering the workshop is correctly diagnosed, documented, and estimated before the first wrench is turned. You will be responsible for the entire service lifecycle: from verifying warranty coverage and opening job cards to ensuring all repairs comply with industry legislation and workshop policies. Requirements:
1. Service Initiation & Technical Diagnosis
Performance Assessment: Consult with drivers and fleet owners to ascertain performance issues, technical malfunctions, and specific service requests.
Job Card Governance: Open and manage job cards, ensuring every repair task is documented accurately from the outset.
Warranty Verification: Conduct rigorous checks to verify warranty status and service contract coverage, ensuring financial accuracy for both the client and the workshop.
2. Estimating & Financial Stewardship
Technical Estimating: Develop detailed cost estimates for parts and labor, leveraging your mechanical engineering background to ensure accuracy and feasibility.
Process Alignment: Ensure all workshop activities follow internal policies and procedures, as well as applicable transport and safety legislation.
Deadline Management: Coordinate with the mechanical team to deliver results under pressure, ensuring vehicles are returned to the road within strict timelines.
3. Customer Rapport & Stakeholder Management
Service Communication: Serve as the primary point of contact for clients, providing clear updates on repair progress and technical findings.
Conflict Resolution: Handle customer inquiries and concerns with a professional, customer-friendly attitude to ensure long-term brand loyalty.
Qualifications and Skills:
Professional Profile
Education: HND or equivalent in Mechanical Engineering.
Experience: Minimum 3 – 5 years of hands-on experience specifically within a Truck and Trailer Workshop.
Specialization: Sufficient all-round experience with Trailers is mandatory.
Core Competencies
Regulatory Knowledge: Strong understanding of applicable transport legislation and workshop safety policies.
Systems Proficiency: Solid grasp of workshop management systems and documentation processes.
Soft Skills: Proven ability to work as a team player and maintain a customer-focused orientation under high-pressure conditions.
