Job Description:
Malaria Consortium is seeking a meticulous and proactive Administrative Officer to anchor our operations in Zamfara State. In this role, you will be the operational backbone of the state office, ensuring that logistics, procurement, and administrative systems function seamlessly to support our life-saving health interventions.
From managing vendor relations and office assets to coordinating complex field logistics for Mass Drug Administration (MDA) events, you will ensure "Value for Money" in every transaction. We are looking for an organized professional with 3+ years of INGO experience who can work independently while integrating perfectly into a high-impact technical team.
Requirements:
1. Office Administration & Asset Governance (70%)
Facility Management: Lead the day-to-day administration of the Zamfara office, overseeing the maintenance of utilities, IT infrastructure (networks, printers), and essential equipment like generators.
Asset Stewardship: Maintain a rigorous asset register, ensuring all office property is tagged, tracked, and reported monthly to the Country Office.
Procurement & Vendor Management: Execute procurements in strict alignment with MC policies. This includes managing the vendor database on NAV, negotiating with service providers (hotels, transport, security), and ensuring valid documentation for all consultants.
Logistics & Fleet Oversight: Line manage the office driver, develop vehicle movement plans, and audit vehicle log sheets/time sheets monthly to ensure transport efficiency.
2. Programmatic & Field Support (30%)
Event Coordination: Lead the administrative logistics for workshops, seminars, and technical meetings, including travel itineraries and accommodation for staff and consultants.
Field Activity Support: Coordinate logistics for program activities, including the compilation of participant lists (CHWs, health facility staff, supervisors) during MDA (Mass Drug Administration) and other state-level events.
Consultancy Management: Facilitate the contracting of short-term consultants in coordination with the Country Office HR Manager, ensuring adherence to procurement protocols.
Financial Synergy: Work closely with the Finance Officer to track budgets and work plans, ensuring that all program-related procurements demonstrate high transparency and accountability.
Qualifications and Skills:
Professional Profile
Education: Bachelor’s Degree in Administration, Social Sciences, Project Management, or a related field.
Experience: Minimum of 3 years in a related administrative/logistics role. Previous INGO experience is essential.
Local Context: Being a resident of Zamfara State with local working experience is highly desirable.
Core Competencies
Technical IQ: Strong proficiency in MS Office Suite (Excel mastery is a must); knowledge of database tools or MS Access is a plus.
Analytical Skills: Highly numerate with the ability to manage budgets, develop work plans, and generate detailed expense reports.
Integrity: A strategic manager with a high level of integrity and a service-oriented mentality.
