Job Description:
As the Site Office Assistant at Popville Luxury Homes, you will be the backbone of our on-site operations. Your primary mission is to ensure the site office remains clean, organized, and running at peak efficiency. You will act as a key point of support for staff and visitors alike, creating a safe and welcoming environment that reflects our commitment to excellence.
This role is ideal for a proactive professional who is comfortable balancing administrative support with hands-on facility maintenance and basic technical assistance.
Requirements:
Office Readiness & Hygiene
Daily Maintenance: Perform daily cleaning of the site office, reception area, restrooms, and kitchenette to maintain a professional and hygienic environment.
Supply Management: Ensure common areas are tidy and essential items (soap, water, paper towels) are always replenished.
Facility Oversight: Empty trash bins daily and promptly report any equipment or facility issues to the General Manager (GM).
Communication & Visitor Support
Reception: Welcome visitors, vendors, and subcontractors, ensuring they are properly guided and signed into the site register.
Information Flow: Take accurate messages for staff and assist in updating site notice boards and memos as directed.
Logistics & Documentation
Inventory Control: Monitor stocks of office consumables and cleaning materials, reporting shortages to the Admin team.
Physical Filing: Help organize and distribute physical documents, including delivery notes and attendance sheets, and manage photocopying/printing tasks.
Meeting Support: Prepare areas for meetings, toolbox talks, and site briefings, including setting up attendance sheets.
Staff Support & Technical Assistance
General Support: Assist site staff with non-computer-based tasks and physical file organization.
Field Assistance: Under the GM’s direction, assist with basic technical tasks such as headcounts, site photo documentation, and simple measurements.
Equipment Monitoring: Perform routine checks on office equipment (printers, water dispensers) and report malfunctions immediately.
Qualifications and Skills:
Education: Bachelor’s Degree in any discipline.
Experience: 1–5 years of relevant experience in an office assistant, site support, or administrative role.
Professionalism:
High level of integrity and the ability to handle confidential information with discretion.
Strong commitment to punctuality, neatness, and professional conduct.
Core Competencies:
Organization: Ability to manage physical spaces and documentation efficiently.
Communication: Clear verbal skills for interacting with site visitors and team members.
Adaptability: Willingness to perform both cleaning tasks and basic technical support as required by the site environment.
