Job Description:
Mshel Homes Limited is seeking a rigorous, governance-minded Documentation and Records Control Manager to serve as the custodian of our corporate and client information integrity. This is a vital operational role that functions as the company’s central "Registry." You will be responsible for the entire lifecycle of our documentation from physical archival and secure digital classification to efficient retrieval and compliance-driven disposal ensuring that our information infrastructure is both bulletproof and highly accessible.
Requirements:
Custody & Security: Oversee the physical and digital security of all records. Manage strict access controls and maintain a clear, audited chain-of-custody for all documents.
Digital Transformation: Lead the classification, version control, and indexing of all records within our Electronic Management System (EMS).
Logistics & Tracking: Implement robust tracking systems for the movement of files between departments. Ensure all document dispatches are authorized, receipted, and logged.
Governance & Compliance: Author and enforce company-wide standard operating procedures (SOPs) regarding records management. Ensure full compliance with regulatory requirements.
Retrieval Efficiency: Establish and meet strict turnaround standards for internal and external document requests.
Archive Management: Manage the archive room’s environment, space utilization, retention schedules, and authorized disposal of expired records.
Legacy Migration: Lead the project-based migration of historical files into our modern digital/physical archival frameworks.
Team Leadership: Supervise, train, and manage the performance of documentation personnel, ensuring the team remains highly productive and detail-focused.
Qualifications and Skills:
Education: Bachelor’s degree in Library and Information Science, Records Management, or Business Administration. Professional certifications (e.g., CRM, ARMA) are a distinct advantage.
Experience: 3–5 years of progressive experience in records management, registry administration, or document control. Proven experience in a supervisory capacity is essential.
Governance Knowledge: Expert understanding of document lifecycle principles, retention/disposal schedules, and data integrity protocols.
Systems Proficiency: High-level competency in Electronic Document and Records Management Systems (EDRMS) and Microsoft Office Suite.
