Job Description:

We are seeking a highly organized and strategic Administrative Manager to lead the operational backbone of our company. This role is designed for a professional who excels at multi-tasking across procurement, logistics, and facility management to ensure our business functions at a premium standard. You will be responsible for streamlining supply chains, safeguarding company assets, and leading a diverse operational team to achieve maximum cost-efficiency and zero downtime.

The ideal candidate has a "boots-on-the-ground" approach to problem-solving and a proven track record in the FMCG or food and beverage sector.

Requirements:

Procurement & Supply Chain Excellence

  • Strategic Sourcing: Develop and execute procurement strategies for raw materials, packaging, and supplies, ensuring quality and timely delivery.

  • Vendor Diplomacy: Negotiate with suppliers to secure significant cost savings without compromising on our premium standards.

  • Inventory Control: Implement rigorous systems to monitor stock levels, minimizing waste, pilferage, and stock-outs.

Logistics & Distribution Management

  • Dispatch Operations: Oversee the distribution of finished products to distributors, retail partners, and event locations.

  • Route Optimization: Plan cost-effective delivery schedules to ensure 100% on-time fulfillment.

  • Tracking & Feedback: Maintain delivery tracking systems and resolve logistics-related customer complaints promptly.

Security, Safety & Facility Management

  • Facility Stewardship: Oversee day-to-day operations including utilities, cleanliness, and the maintenance of machinery and factory infrastructure.

  • Security Protocols: Develop and monitor security for staff and products; supervise outsourced security vendors and lead incident investigations.

  • HSE Standards: Ensure workplace health and safety compliance, organizing fire drills and regular risk assessments.

  • Asset Tracking: Maintain accurate records of fixed assets, including acquisition, depreciation, and preventive maintenance schedules.

Team Leadership & Process Improvement

  • Supervision: Lead and mentor a diverse team including storekeepers, logistics staff, and maintenance personnel.

  • SOP Development: Create and enforce Standard Operating Procedures (SOPs) to drive operational discipline and efficiency.

  • Reporting: Track and report on key performance indicators (KPIs) related to procurement, facility uptime, and safety.

Qualifications and Skills:

Education & Experience

  • Degree: Bachelor’s degree in Operations Management, Administration, or a related field.

  • Industry Context: 2–3 years of experience in operations or administrative management within the FMCG, food, or beverage industry.

Technical Competencies

  • Systems Knowledge: Proficiency in ERP systems, inventory management tools, and the MS Office Suite.

  • Operational Logic: Strong understanding of supply chain principles, logistics planning, and facility maintenance.

Core Soft Skills

  • Leadership: Proven ability to manage teams and enforce discipline and compliance.

  • Problem-Solving: A proactive approach to identifying bottlenecks and implementing automation or efficiency improvements.

  • Communication: Clear verbal and written skills for vendor negotiations and management reporting.
