Job Description:
We are seeking a high-caliber Head of Administration to serve as the operational architect of our organization. In an environment that combines corporate governance with facility management, the Head of Admin is the "Operational Engine", responsible for ensuring that every gear, from procurement to property maintenance, moves with precision. This role is designed for a "Efficiency Strategist" who can lead a diverse team, manage tight budgets, and drive revenue through the strategic oversight of our hall rental portfolio.
Your mission is to transform administrative functions from "cost centers" into "efficiency drivers." You will be responsible for the entire administrative lifecycle: from policy design and facility safety to vendor negotiation and achieving aggressive hall rental targets. If you possess the leadership grit to manage a team and the financial acumen to control expenses while boosting service excellence, we want you to lead our administration.
Requirements:
1. Facility Governance & Revenue Optimization
Property Stewardship: Oversee comprehensive facilities management, ensuring that all physical infrastructure is maintained to the highest standards of safety and functionality.
Commercial Drive: Lead and motivate the Administration Team to aggressively secure clients and meet established hall rental targets, ensuring maximum occupancy and revenue.
Asset & Inventory Control: Supervise the full lifecycle of organization assets, ensuring rigorous inventory control and loss prevention measures are in place.
2. Procurement & Financial Stewardship
Strategic Sourcing: Manage procurement processes and vendor relationships, utilizing negotiation techniques to ensure cost-effectiveness without compromising on quality.
Budgetary Oversight: Control and monitor administrative budgets, providing executive leadership with accurate operational planning and expense reporting.
Process Engineering: Design and implement administrative systems and policies that increase organizational velocity and reduce operational friction.
3. Compliance & Team Leadership
Regulatory Governance: Ensure 100% compliance with company policies and external regulatory requirements, including workplace health and safety (HSE).
Talent Development: Lead and mentor the administrative staff, fostering a culture of high performance, professionalism, and integrity.
Information Architecture: Oversee document management and record-keeping systems to ensure data accessibility and security.
Qualifications and Skills:
Professional Profile
Education: Bachelor’s Degree in Business Administration, Management, or a related field (A Master’s Degree is highly preferred).
Experience: Minimum of 3 years of progressive administrative leadership experience.
Commercial Knowledge: Strong understanding of budgeting, procurement, and the dynamics of facilities/venue management.
