Job Description:
- Receive and professionally welcome clients, visitors, contractors, vendors, consultants and other stakeholders.
- Manage the reception area and ensure it consistently reflects the Company's professional corporate image.
- Answer, screen and direct incoming calls promptly and professionally.
- Receive and appropriately distribute correspondence, documents, parcels and courier items.
- Maintain accurate visitor records and coordinate visitor access in line with Company security procedures.
- Notify the appropriate employee when a visitor arrives and coordinate access with the Security team.
- Ensure visitors comply with applicable Company security, identification and HSSE requirements before accessing restricted areas.
- Provide basic information to visitors and direct enquiries to the appropriate department or personnel.
- Coordinate meeting-room bookings and support arrangements for internal and external meetings.
- Support the reception and administrative arrangements for management meetings, client visits, regulatory engagements and corporate events.
- Maintain accurate records of incoming and outgoing correspondence, visitor logs and other front-office documentation.
- Manage courier services and ensure proper documentation and acknowledgement of deliveries.
- Provide administrative support to the Administration and HR functions as required.
- Monitor front-office stationery and consumables and raise requests for replenishment when required.
- Maintain strict confidentiality when handling Company, employee, client or commercially sensitive information.
- Liaise with Security, Facilities, Administration and other relevant departments to resolve front-office issues promptly.
- Receive and appropriately escalate complaints, unusual incidents, security concerns or emergency situations.
- Support emergency response and evacuation procedures as required.
- Ensure all front-desk activities are carried out in accordance with Company policies, procedures and applicable regulatory requirements.
- Perform other duties reasonably assigned by the Supervisor or Management.
