Job Description:
We are seeking a high-caliber Executive Assistant to serve as the operational extension of our CEO. This is not merely an administrative role; it is a critical coordination position designed to streamline executive decision-making and ensure organizational follow-through. You will be the "right hand" to the CEO, managing high-stakes communications, tracking strategic action points across departments, and ensuring that the CEO’s time is focused on the highest-priority objectives.
The ideal candidate possesses the professional maturity to handle sensitive information and the execution-focused mindset required to drive results across a fast-paced organization.
Requirements:
Executive Coordination & Flow
Calendar Mastery: Manage the CEO’s calendar with precision, strategically scheduling meetings and engagements to align with business priorities.
Meeting Oversight: Coordinate high-level meetings, ensuring agendas are set, participants are briefed, and logistics are handled seamlessly.
Bottleneck Reduction: Proactively identify and resolve scheduling conflicts or administrative hurdles that impede executive efficiency.
Strategic Execution & Follow-through
Action Point Tracking: Attend key meetings to capture action items and rigorously ensure follow-through across various teams and departments.
Timeline Monitoring: Monitor execution timelines for strategic projects, providing the CEO with regular updates on progress and potential delays.
Accountability: Drive organizational accountability by acting as a professional liaison between the CEO and department heads regarding deliverables.
Communication & Documentation
Reporting & Briefs: Prepare high-quality briefs, reports, and presentations for board meetings, strategic retreats, and external engagements.
Information Management: Serve as the primary filter for internal and external communications, handling correspondence with a refined professional tone.
Systems Management: Maintain highly organized digital and physical record systems to ensure information is retrievable and secure.
Qualifications and Skills:
Experience & Education
Background: 3–5 years of proven experience in an executive assistant, personal assistant, or project coordination role.
Education: Bachelor’s degree in Business Administration, Communications, or a related field.
Core Competencies
Organizational Grit: Highly organized and proactive, with the ability to "see around corners" to anticipate executive needs.
Execution Focus: Detail-oriented with a strong drive to see tasks through to completion.
Multitasking: Proven ability to manage multiple high-priority projects simultaneously without loss of accuracy.
