Job Description:
We are seeking a proactive and detail-oriented Administrative Assistant to support our core operations and contribute to the maintenance of a seamless office environment. This role is perfect for a highly organized individual who excels at managing diverse tasks from facility supervision and vendor management to vehicle logistics and financial reporting.
As an Administrative Assistant, you will act as a vital support pillar, ensuring that office equipment, company vehicles, and expatriate residences are managed to the highest standards of safety and efficiency.
Requirements:
Office & Facility Coordination
Operational Support: Provide day-to-day administrative assistance to staff across all departments to facilitate smooth workflows.
Equipment Maintenance: Ensure the timely maintenance and proper functioning of all office equipment and facilities.
Environment Management: Supervise office cleaners and maintenance staff to ensure a clean, professional, and welcoming working environment.
Inventory Control: Assist in ordering and managing office supplies, ensuring that essential equipment inventory is always stocked.
Logistics & Fleet Management
Vehicle Oversight: Conduct regular safety and compliance inspections of company vehicles.
Fuel & Usage Tracking: Manage the fueling process for company pool vehicles and maintain meticulous logs and documentation of vehicle usage.
Documentation Support: Collaborate with the Admin Lead to track and renew vehicle papers and regulatory documentation.
Defect Reporting: Promptly identify and report any faults in company vehicles or office facilities to prevent operational downtime.
Financial & Specialized Support
Expense Reporting: Prepare, reconcile, and submit accurate expense reports within designated timelines.
Expatriate Services: Address and coordinate the resolution of any facility or administrative issues arising in expatriate residences.
Cross-Functional Collaboration: Partner with the Admin Lead to implement strategies that improve overall office efficiency.
Qualifications and Skills:
Education: Minimum of a 2nd Class HND, B.Sc., or BA degree in any discipline.
Experience: Proven experience in an administrative or office support role.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for report preparation and data tracking.
Strong record-keeping abilities, particularly regarding logs and financial reconciliations.
