Job Description:

We are seeking a detail-oriented and proactive Administrative Officer to serve as the operational anchor of our logistics and office environment. In a fast-paced supply chain setting, the Administrative Officer is the "Information Architect"—someone with 1–2 years of logistics experience who can translate complex shipment data into organized records and seamless team communications.

Your mission is to ensure that office operations and logistics documentation move with absolute precision. You will be responsible for the entire administrative lifecycle, from managing sensitive shipment records and physical/electronic filing systems to serving as the primary communication bridge between the warehouse, logistics teams, and senior management. Requirements:

1. Logistics Documentation & Shipment Governance

  • Shipment Record Management: Oversee and manage all shipment documentation, ensuring that every operational record is accurate, complete, and easily retrievable.

  • Filing Sovereignty: Maintain meticulously organized physical and electronic filing systems to ensure audit readiness and operational transparency.

  • Compliance Stewardship: Ensure all administrative activities comply strictly with company policies and standard logistics procedures.

2. Cross-Functional Coordination & Communication

  • Inter-Departmental Liaison: Support and streamline communication between the logistics, warehouse, and management teams to prevent informational silos.

  • Correspondence Management: Handle all professional correspondence, including emails, phone inquiries, and internal memos, with a high degree of professionalism.

  • Calendar & Meeting Management: Schedule critical operational meetings and manage office calendars to ensure leadership and logistics teams stay aligned.

3. Reporting & Operational Support

  • Performance Summaries: Prepare routine operational reports and summaries that provide management with a clear view of administrative and shipment trends.

  • General Operations Support: Provide comprehensive administrative support to ensure the daily office environment remains productive and efficient.

Qualifications and Skills:

Professional Profile

  • Education: B.Sc. / HND in Business Administration or a related discipline.

  • Experience: 1–2 years of relevant experience specifically within the Logistics sector.

  • Technical Proficiency: Good knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) for reporting and data management.
