Job Description:
We are seeking a dedicated and organized Administrative Officer to join our team in Abuja. This role is essential for maintaining the operational efficiency of our office, serving as a central point of coordination for staff, visitors, and external stakeholders.
The ideal candidate will be a proactive professional capable of handling a variety of administrative tasks while ensuring that the daily needs of the office are met with precision and professionalism.
Requirements:
Office Coordination & Operations
Facility Management: Supervise daily office operations, ensuring the workspace is clean, organized, and conducive to productivity.
Supply Chain: Manage the procurement of office supplies and maintain an accurate inventory of equipment and stationary.
Maintenance: Liaise with vendors and service providers to ensure the timely repair and maintenance of office infrastructure.
Administrative & Executive Support
Scheduling: Manage calendars for senior management, including the coordination of meetings, travel arrangements, and appointments.
Document Management: Prepare, review, and file official correspondence, reports, and presentations.
Record Keeping: Maintain a robust and secure filing system (both physical and digital) for company records and sensitive data.
Communication & Stakeholder Relations
Liaison: Act as the first point of contact for the office, handling incoming calls, emails, and physical inquiries.
Departmental Support: Facilitate smooth communication between various departments to ensure collaborative goals are achieved.
Visitor Management: Welcome guests and ensure they are directed to the appropriate personnel or meeting rooms.
Qualifications and Skills:
Qualifications: Candidates should possess relevant academic qualifications in Business Administration, Public Administration, or a related field.
Experience: Previous experience in an administrative or secretarial role is highly desirable.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Excellent typing and data entry skills.
