Job Description:

We are seeking a highly organized and proactive Admin Manager to oversee and coordinate all administrative operations within our fast-growing real estate firm. This role is the backbone of our daily functions ensuring operational excellence, maintaining high-standard facility management, and supporting our sales and operations teams. If you are a natural leader with a keen eye for process improvement and a track record of driving operational efficiency, we want you to help us scale.

Requirements:

  • Operations Management: Oversee the day-to-day administration of the office to ensure seamless workflow and departmental coordination (HR, Sales, Finance).

  • Facility & Vendor Management: Manage facility maintenance, pool vehicle logistics, utilities, and office supplies. Build and maintain strong relationships with vendors to ensure service delivery.

  • Team Leadership: Supervise administrative staff, setting clear standards for service delivery and ensuring KPIs are consistently met.

  • Financial Oversight: Manage petty cash, track expenses, and perform accurate monthly reconciliations.

  • Documentation & Logistics: Maintain rigorous physical and digital filing systems. Coordinate logistics for meetings, staff training, and major company events.

  • Process Improvement: Implement and refine administrative policies to streamline operations and support the company’s business growth.

Qualifications and Skills:

  • Education: Bachelor’s Degree in Business Administration or a related field.

  • Experience: 4–6 years of experience in an administrative leadership role. Previous experience in the real estate sector is a distinct advantage.

  • Leadership: Proven ability to supervise staff and manage teams effectively.

  • Technical Skills: Advanced proficiency in Microsoft Office tools.

  • Soft Skills: Exceptional negotiation and vendor management skills. You possess high levels of integrity, accountability, and the ability to multitask in a fast-paced environment.
