Job Description:

We are seeking a highly organized and proactive Administrative and Operations Executive to serve as the operational backbone of our event catering business. In this role, you will be responsible for the seamless coordination between the kitchen, logistics, and event teams to ensure every function is executed to perfection. You will manage the vital administrative processes that keep our business running, from inventory tracking and vendor liaison to staff scheduling and client onboarding.

The ideal candidate thrives in a fast-paced environment and possesses the multitasking agility required to manage the complex moving parts of a high-volume catering operation.

Requirements:

Administrative Management

  • Office Oversight: Manage daily administration by organizing physical and digital records, ensuring all operational documents are easily accessible.

  • Communication Hub: Handle all incoming and outgoing correspondence (emails, calls, and internal memos) with high levels of professionalism and promptness.

  • Database Maintenance: Keep accurate and up-to-date records for clients, vendors, and invoices to facilitate efficient business tracking.

  • Scheduling: Coordinate staff rosters, meeting calendars, and operational timelines to minimize conflicts and maximize planning efficiency.

Operations & Logistics Coordination

  • Execution Support: Ensure all teams (kitchen, service, and logistics) are fully briefed on client requirements, meal readiness, and event schedules.

  • Inventory Control: Maintain meticulous records of food supplies, catering equipment, and event materials to prevent shortages or wasteful excess.

  • Procurement Assistance: Prepare purchase requests, follow up with suppliers, and confirm delivery schedules to ensure the kitchen never faces a disruption.

  • Logistics Management: Coordinate the transportation of equipment and setup materials to various event venues, ensuring timely delivery and setup.

Client & Vendor Relations

  • Onboarding: Support the client onboarding process, ensuring all event requirements and expectations are documented and confirmed.

  • Vendor Liaison: Communicate regularly with suppliers to confirm orders and service timelines, maintaining positive and productive relationships.

  • Feedback Management: Document customer feedback and escalate concerns to management to drive continuous improvement in service quality.

Reporting & Compliance

  • Performance Tracking: Prepare regular reports for management highlighting operational activities, challenges, and performance updates.

  • Financial Records: Track operational expenses and maintain organized records to support budgeting and financial accountability.

  • Confidentiality: Ensure the secure management of company contracts and sensitive client information.

Qualifications and Skills:

  • Education:

    • Bachelor’s Degree or HND in Business Administration, Operations Management, or a related field.

  • Experience:

    • 1–3 years of experience in administrative or operations support.

    • Preferred Advantage: Direct experience in catering, hospitality, or event management.

  • Technical Skills:

    • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.

    • Strong understanding of inventory management principles.

  • Core Competencies:

    • Organization: Exceptional time management and the ability to multitask in a high-pressure environment.

    • Attention to Detail: Precision in record-keeping and logistical planning.

    • Communication: Excellent interpersonal skills for cross-team collaboration.

    • Problem-Solving: Ability to think quickly and resolve operational bottlenecks during live events.
